Accommodation during your time here

Housekeeping

All areas of the college including college study bedrooms are regularly cleaned by our staff.  You can expect the following cleaning schedules:

Bedrooms

Removal of rubbish Monday to Friday, clean once a week (hoover, dust, clean sink/bathroom)

Communal kitchen/pantry

Removal of rubbish; clean all surfaces, cupboard doors, sink, cooker, microwave etc. daily Monday to Friday.  Once a week: clean oven, toaster.  NB - Housekeeping staff do not clean or tidy dishes – residents must do this.

Communal bathrooms/toilets

Cleaned daily Monday to Friday

Corridors and staircases

Cleaned three times per week.

If you have any particular requirements email the Housekeeping Manager:  https://www.lmh.ox.ac.uk/current-students/key-contacts

Waste and Recycling

Waste

Our Housekeeping team will collect the waste in the buildings daily Monday to Friday, both from your room and from the kitchens in your building.  If you don’t want to be disturbed leave the bin outside your room.

Waste is collected and handled in 4 main streams:

  • Dry mixed recycling such as paper, card, cans, plastics
  • Glass
  • Food
  • Everything else

Detailed information can be found here.  To help you separate your waste the bin in your room has two compartments, and there are four separate bins in your kitchen.  Your help in reducing our collective impact on the environment by using less, re-using more, and separating your waste so it can be recycled  is important – thank you.

Reporting a Fault/ Lost Keys

Faults that occur with anything in the living spaces or communal areas must be reported straight away – they won’t fix themselves or get better over time and our team of staff can usually mend them.  Use the email address faults@lmh.ox.ac.uk to report all types of faults.

Our Estates team are on site between 0800 and 1900 Monday to Friday and will usually attend to issues on a priority basis within those hours.  For urgent problems that occur outside these hours we will bring contractors to site as soon as we are able to.

Lost Keys

Lost keys will be charged for at £62.40 for a set of keys and a buildings fob. This can be arranged by the Lodge.

Staff

There are lots of people in the college whose work helps keep the buildings and building services working for our residents:

  • The Bursary deal with the management and administration of the student residences
  • The Porters’ Lodge cover the reception, security and mail handling (this team is on site 24/7/365)
  • The Housekeeping Team keep the place clean and tidy
  • The Estates Team maintain the buildings, fixtures and fittings.
  • The computer networks are managed by our IT team

You can find contact details for all of them on our website https://www.lmh.ox.ac.uk/current-students/key-contacts

Heating and Hot Water

Most LMH buildings use gas fired boilers for space heating and to generate hot water.  A central gas boiler heats water which is pumped around a system of radiators to warm up the building spaces until a control mechanism tells the system the room is warm enough.

Hot water to all taps (faucets) is usually generated by the same boilers building by building.

Our aim is to provide heating to a moderate but not generous level to all residential areas in the college for core hours of the day during the colder times of year, in the region of 20°C 0700 - 2300. The resident has some level of control over the heating in all circumstances either through a valve on the radiator, a thermostat on the wall or an app.  A simple building by building guide can be found here.

Undergraduate Vacation Residence

Undergraduate accommodation agreements allow for residence for up to 9 weeks per term and not during the vacations – dates can be found on your accommodation agreement.

If you need to stay in College for academic purposes or essential travel reasons applications for undergraduate vacation residence open midway through each term. You will be asked to complete an application form which is sent out by the Accommodation Manager during the term.

If you need to arrive early for any Term you will also need to make arrangements for this before the start of the preceding vacation.

A vac res request is passed onto your personal tutor for approval, and we then work to find availability for you. We always try to accommodate you in your term-time room, but if this isn't possible then we will make arrangements for you to move to an alternative room within College. If you are asked to move rooms it is because either your room, or the rooms surrounding them will either be in use - or will be having maintenance work taking place. Please do not email and ask to stay in your room if you have been asked to move.  Any vacation residence that is granted will be charged at the standard nightly rate and will appear on your battels straight away.

Some of our undergraduates opt for a 37 week accommodation agreement from 0th week of Michaelmas Term to 8th week of Trinity Term (October to June).  In this case you do not need to apply for vacation residence but we may still need you to move rooms out of term time.

Postgraduate Vacation Residence

Graduate student residents choose from one of 4 summer end dates when signing their accommodation agreement. Graduates wishing to amend their summer extension bookings should contact the Accommodation Manager at accommodation.manager@lmh.ox.ac.uk to discuss this. We offer graduates the chance to extend their standard 39 week booking for an additional 4, 8 or 12 weeks over the summer. Summer vacation residence must be paid before the end of Trinity Term.

Choosing Accommodation for Later Years

The JCR Ballot

Returning undergraduates are given the opportunity to choose their room for the following year through the JCR Room Ballot. The Ballot is managed by the JCR, Academic Office and Bursary and is run during the spring for the coming autumn.

The Ballot is your opportunity to choose where in College you want to live and who you want to live with, so you should think carefully about your choice.

The MCR Ballot

Although the College is not able to guarantee any accommodation for returning graduates, except for some LMH scholars and members of the MCR Executive Committee, we do sometimes make room offers to returning students subject to availability. If you are interested in living in College and would like to be considered should any rooms become available, then you will be invited to take part in the MCR Room Ballot.

Living-out of College

If you are choosing to live-out or need to look for accommodation outside of College then the Oxford SU Student Advice Service is a good place to start https://www.oxfordsu.org/wellbeing/student-advice/. Their Living-out Guide provides lots of useful information.

Checking Out and Leaving

Checking Out

At the end of each accommodation period (Oxford term) undergraduates will be expected to check out of their room by 1pm on the day of departure, which is usually the Saturday of 8th week. You will need to remove all belongings from your room and return your keys to the Porters' Lodge. You must leave your room as clean and clear as you found it and make sure that any rubbish left behind is in bin bags ready to go. All perishable items must also be removed from your kitchen. If you need additional rubbish or recycling bags for this please speak to your scout.

Personal belongings left in rooms after check-out will be disposed of without further warning.

There are a small number of communal vacation stores across the site which can be used over the vacations. All items deposited must be clearly labelled with your name and room number and stacked safely (see the porters’ Lodge for a key). Bikes can be left in College over the vacations but please ensure that they are registered at the Lodge and locked securely to one of the bike racks.

We have limited spaces in the car park but a few are set aside on check-in and check-out days for students who are being collected by car. Please park just long enough to load up your belongings, and then move your car to allow others to do the same.

Please refer to the leavers checklist.

Ending your accommodation agreement

You can choose to end your accommodation agreement with us at any time by giving formal notice to the Bursary by email or letter. Your accommodation agreement will set out how much notice is required and what charges you will be liable for. If you are suspending or withdrawing from your course then it is important that you let the Bursary know as well, as you will be required to vacate your room.

Keys and College Access

All LMH students will be able to collect an access fob from the Porters Lodge – this will allow you into the main college buildings so you can access our facilities, services and staff.

College residents will also be issued a room key.  You must keep your keys and fob with you at all times. Your room should be locked when you are not inside.

If you lose your keys and/or fob and lock yourself out you will be asked to identify yourself in some way in order for us to establish that we are providing access to the correct person/room. There is a charge for a lost key or fob, currently £62.40

Do not under any circumstances loan your key or fob to anyone else. Please try to remember your room number.

We are beginning to change building and bedroom access to a different system called SALTO which will use your University Card as an identifier but this is currently only active in Eleanor Lodge building, Wolfson North building and 7 and 1 Fyfield Road.

B&B Rooms

There is no facility for guest rooms for guests of undergraduate students in term time.  During some vacations LMH offers limited B&B rooms in College accommodation to students, alumni and external visitors. Further information, including current rates and availability, can be found on the LMH Conferences Website.

Looking After Your Room

The college’s accommodation is very important to the students who live and work here. However, it’s inevitable that some damage will occur.

To help us keep your rooms in good condition we’d like you to let us know about any issues with your study bedroom and communal areas as soon as possible either through faults@lmh.ox.ac.uk or directly with the Housekeeping team via your Scout.  We can then put the problem right or schedule some remedial work later in the year. If problems go unreported they can get worse – the sooner you tell us, the sooner we can help.

You can also help us to keep your room working well; have a look at our residents' information on Pests and Mould.

Poster display

As well as reporting any problems with your room, we so also ask you to take care not to damage the room yourself or do anything which could cause deterioration beyond reasonable wear and tear. Damage from blu tak, LED lights or other adhesives which damage the state of walls will be considered to be unacceptable wear and tear – please use the noticeboards provided.

Bedroom Inventories/ Damage

During the Academic Year the College conducts an inventory of all student bedrooms, to help us check that the correct furniture and fittings are provided and to record the condition of the room and its fixtures. Rooms will be routinely checked against this inventory in order to help us maintain and improve the standard of our accommodation; we will use this record as a comparison and if we notice that the room or its contents have deteriorated significantly beyond reasonable wear and tear then we may charge you what it costs us to put it right.

College Facilities

Common Rooms

Students and academic staff of the college are provided for with a common room for each of these communities:

Junior Common Room (JCR) - undergraduate members of the College – Kathleen lea building

Middle Common Room (MCR) – post graduate members of the College – Clore building

Senior Common Room (SCR) - Fellows and other academic and senior administrative staff – Deneke building

'Common Room' refers both to the student/staff body and to a physical common room that is available for its members' use. Both the JCR and MCR organise activities for their members and have elected representatives who serve on College committees.

Sports and Recreation Facilities

LMH has a hard court area in the gardens marked up as three full sizes tennis courts, a netball court, a pickleball court and a basketball court. There is also some lawn area where informal football can be played.

The College also has a punthouse in it’s grounds on the river Cherwell, punts are usually on the water from April or early May and can be booked at the lodge at a charge of £5 per hour per punt (students and staff). Bookings are made through the Porters' Lodge and payment is accepted by card only.

LMH shares a boathouse on the Isis or the use of the LMH Rowing Club and a sports field with Trinity College situated on Marston Road for the use of LMH field sports teams.

We also have an indoor gym on site equipped with a rowing machine, running machine, cross training, cycle machine, squat rack and free weights. Membership is currently charged at £35 for a full or part academic year. To sign up to use the gym you first need to complete a short gym induction quiz and make the payment for your membership through UPAY. To enquire further about membership contact bursary@lmh.ox.ac.uk.

All students can access rowing machines in our ‘Erg Shed’ on site when the LMH Rowing Club are not using them.

Booking Rooms and Spaces

LMH has a range of rooms of different sizes and styles that can be booked by students for group study sessions, music practice and society events.

For a simple room booking request to allow you to study or work with friends or to check room availability use the KX Calendar app.  Complete the request process online and wait for confirmation.

For more complicated requests students should complete a booking request form which will be processed by the Bursary.

Please note that the booking is not confirmed until you receive an email from the Bursary, and we require at least 24 hours notice Monday to Friday to process a booking. Our rooms are in high demand so it is best to book as far in advance as possible.

If you want to gather people together you will ALSO need separate permission from the Dean before the booking can be confirmed – the form is on the Decanal team web page https://www.lmh.ox.ac.uk/current-students/decanal-team.

If you want to enquire about booking a room for a private event, a University society event or a commercial purpose refer to the policy below and contact the Bursary in the first instance on bursary@lmh.ox.ac.uk:

  • You must be a current LMH student in order to book a College room
  • For LMH students, there will be no room hire fee for an LMH-only event
  • For LMH students who are President of a registered University club or society, there will be no room hire fee, although catering charges may apply if catering is required.
  • A room hire fee will be applied for LMH students booking for a University society if they are not the President, no matter their position within the society Committee
  • Private events may also incur room hire charges.  Our bookable rooms are between £150 and £675 per day to hire.
  • For Oxford Student Union bookings there will be no room hire fee; however, the room must be booked through the JCR/MCR President

Chapel and Prayer Room

The chaplaincy of the College is run on ecumenical principles. Services are held in the Chapel during Full Term - you can find further details on the website, Chapel noticeboard and Chapel term-card. Everyone is welcome - members of all denominations, any religion, or none. You will find the College's Prayer Room in the Clore Graduate Centre - this room is available to those of all faiths as a private location for personal reflection - see the Porters at the Lodge to arrange access to the Graduate centre if you are not a post graduate student.

Laundry

LMH has four laundry rooms on site in Kathleen Lea, Talbot and Old Old Hall as well as in for Graduates in the Clore Graduate Centre; these services are provided by WashCo. You can pay by debit card at the machine, and a wash cycle is £3.20, £3.40 or £3.60 depending on the cycle. A drying cycle costs £1.40 for 60 minutes. Hypoallergenic detergent is pre-added in Clore, Talbot and Old Old Hall, but not in the Kathleen Lea laundry. If you encounter any problems contact bursary@lmh.ox.ac.uk.

Music and Rehearsal Spaces

There are grand pianos that can be used in Talbot Hall, The Old Library and the Mary O'Brien Room.  These rooms can also be booked on the Intranet for piano use.

There is a Steinway model 'B' grand piano in the Mary O'Brien Room; to be able to collect the key from the Porters lodge for this piano you must either be a current music student or have achieved Grade 8 on the piano.  You can have your name added to the list of eligible people by emailing bursary@lmh.ox.ac.uk

Book a room on the Intranet.

Tower Studios

The Kathleen Lea building houses Tower studios which comprise a semi equipped sound proof rehearsal room available to book on the intranet for any college member, and a fully equipped control room, available to trained members of the college.  To secure training and allow access to the Control Room email bursary@lmh.ox.ac.uk

Student Storage

Storage space at LMH is extremely limited. There are a handful of communal vacation storage rooms around the College but you should plan to take the vast majority of your belongings home.

Kit Keeper is a service provided by an external company who will collect, store and then return your boxed belongings during the vacation. LMH students can get a 10% discount with the code LMHSTORAGE. You can find out more here

Bikes, Cars and Parking

Bicycles

All bikes in college must display a numbered bike tag collected from the Lodge.

Bikes must not be left leaning against walls or railings, and must be locked in a bike shed.

Bikes found outside of these locations will be removed without further warning.

Bicycles cannot be kept in rooms, hallways or houses: we have over 400 covered bicycle spaces on the College site.

The Lodge can also provide cycle pumps and tools for you to use free-of-charge.

We also provide a space for charging batteries for electric bikes and scooters, as it is not permitted for these to be charged inside bedrooms or buildings.

You can find out more about local bicycle routes, cycle schemes and initiatives here https://www.oxford.gov.uk/cycling.

Bike repairs

The college hosts a mobile bike repair man one Thursday a month.  Slots are advertised about a week in advance on a first come first served basis.  Slots are charged at £10 per slot and parts used in repairs are charged to end users with the College covering the other costs.

Community Pool Bikes

LMH has a pool of Community Bikes, which are available for casual use for LMH staff and students. There is a small annual subscription (£12.50) to cover costs. Once paid, you'll be added to the booking system and all you need to do is book a bike for the time you need it and ride off!

If you want a bike for private use for the whole term we are working with Byke Ltd for longer bike hires.  A terms hire costs in the region of £35.

Cars and Parking

Oxford City Council strongly discourages students from bringing cars in Oxford and expressly prohibits residents of some buildings from bringing vehicles into the city. LMH has no provision for student parking on the College premises, other than for disability requirements. Metered parking is available on some of the surrounding roads for short periods, and the College makes some designated spaces on site available for loading/un-loading at the beginning and end of terms.

Gardens and Grounds

The College's extensive gardens provide students, staff and visitors with a variety of beautiful spaces to enjoy. You can keep up with developments here: https://www.lmh.ox.ac.uk/gardens

The College Gardeners work hard to care for the grounds and would appreciate your help in keeping them in good condition.

Sports and games can be played near the river beyond the ditch and should not be played near the buildings.

There are benches throughout the grounds and wifi extends to most areas near the buildings. If you move any of the benches please return them to their original location; if you bring indoor furniture outside please return it when you have finished using it.

Please note:

  • The Fellows’ Lawn in front of Deneke is reserved for the use of our Fellows.
  • The SCR terrace is reserved for members of the Senior Common Room.
  • By convention, no-one walks on the grass in the Wolfson Quad.
  • Please use the paths where possible in all areas

Within the hundreds of plants in the LMH gardens some are poisonous – never eat anything unless you are sure you know what it is.

Avoid our large trees in bad weather and strong winds - large branches and even whole trees can fall.

Getting Online and IT Support

Your Oxford Account

Before a computer is used on the College’s network please be aware that you must adhere to the University’s IT regulations: https://governance.admin.ox.ac.uk/legislation/it-regulations-1-of-2002

All Oxford students are allocated a University Single Sign-On account and an Oxford email address for use during their time here.  This is issued by the central University of Oxford via the personal email you supplied to the University when you applied for your place and will be the main way we will communicate with you.  You will need to activate it.

Connecting to the WIFI and Network

Available methods of connection at LMH:

Wireless. The College makes use of the University wide and global Eduroam network.

Wired (via RJ45 Ethernet). Each accommodation room in College has an Ethernet port. Please be aware that not all computers have Ethernet ports, some will require a USB adapter.

Before you can access the LMH network (wired or wireless) you will need to complete the following prerequisites:

  1. Activate your Single Sign-On (SSO) account

Details of your Oxford Single Sign-On account will be sent to the personal email address that you supplied to the University. You will need to activate this account in order to make use of key ICT facilities within the University and College. It is recommended that you activate this in advance of your arrival.

  1. Start the University registration process

Once your Single Sign On account has been activated please complete the first step of the registration process by verifying your details online before you arrive: https://www.ox.ac.uk/students/registration. Registration is required for you to print a Certificate of Enrolment, attend your programme of study, release your loan from the UK Student Loans Company / sponsor / awarding body, use your University email account, obtain your University Card, and be eligible to take examinations. Status as a member of the University is not confirmed until registration is completed by your College / PPH / Course Administrator at the start of your course.

  1. Create your Remote Access Account

This account is used to authenticate access to both the wired and wireless networks within the College. You can create your Remote Access Account by logging in with your Single Sign On account here: https://register.it.ox.ac.uk

Once set up your credentials can be used to connect to the Eduroam wireless network, further information on how to connect various devices can be found here: https://help.it.ox.ac.uk/access-wifi-eduroam

  1. Register your machine on the College network (wired access only)

The first time a computer is connected to the wired network in College it will need to be registered using your Remote Access Account, as part of this process our system will perform a security scan of your machine. The scan checks that your device’s software is up to date and that there is an anti-virus installed.

Should you plan to use the wired network we would suggest preparing your machine for the scan before you arrive. If you have a computer running Windows please make sure that you have the latest Windows updates installed, alternatively if you have an Apple computer please check that the latest updates have been installed under System preferences. Further information on how to update Windows or MacOS can be found on their respective support sites: https://support.microsoft.com and https://support.apple.com. Additionally, please ensure that any anti-virus or anti-malware software you have installed is up to date. Anti-virus software is required to pass the scan, if you don’t already have one then we would recommend that you install Sophos which the University offers to students for free.

Printing and Scanning

Due to the authentication method provided by the University, it is not possible to add wireless printers, or other devices such as smart speakers/internet TVs, that do not allow you to provide both a username and password for connection. You may need to buy a USB cable to connect your printer to your laptop/PC directly and for other devices you may be able to connect via the wired ethernet connection (possibly by buying an adapter). It is also not possible to connect your own wireless router to the College wired network.

IT Services and Facilities

Helpdesk

You can contact the ICT Team by email on it-support@lmh.ox.ac.uk. They will reply as soon as they can during office working hours: Monday to Friday from 9am to 12.30pm and 1.30pm to 4pm.  They can help with any of the services provided by the College and most of the University provided services.

Student shared computers

The College normally provides computers for any member of the college to use in the library; you will find two computer areas in the library, both on the ground floor.  To log on to the College computers you will need to use your SSO username and password.

Printing

There are three printers that any member of the College can use; two are in the Library computer rooms and one is in the Porters' Lodge. Printing is charged at 4p per page for black and white printing and 10p per page for colour. Every student has an annual printing allowance (£6 for undergraduates and £12 for graduates); once you have used up your allowance you can continue printing until you reach the negative account limit of £50. Negative printing balances will be charged to your battels termly.

You can print from one of the student shared computers in the Library or by using the web printing service at print.lmh.ox.ac.uk.

The printers use a shared printing queue: send your document to the queue (for web print there are separate queues for single-sided or colour printing) and then go to your chosen printer and use your University card to tap on the card reader (you may need to tap twice if the printer is in low power mode) and release your stored document.

The printer in the Porters' Lodge and the larger Library printer can also photocopy or scan documents. Copying is charged at the same rate as printing, and scanning is free.

See our full Printing Guide to find out more about the College's printing services.

University IT Services

The University IT Services department provides additional services including email, free or reduced price software (Office 365, Sophos Antivirus and more), E-learning platforms (Canvas), vpn, on-line IT courses, and the hardware breakdown service. You can visit http:\\help.it.ox.ac.uk to find out about the services and support provided by University IT Services.

Free Software. Through your University email account you have access to a free download of Microsoft Office 365 that can be installed on up to 5 personal devices: https://help.it.ox.ac.uk/office-365-download. Information on free software provided by the University can be found here: https://help.it.ox.ac.uk/get-software.

What to bring:  Find out what tech you’ll need at Oxford: https://www.it.ox.ac.uk/what-to-bring

Staying Safe Online

  • Anti-Virus Software. We strongly recommend that you install anti-virus software on any computer that will be connected to the College’s network. The University offers Sophos Endpoint Security to all students for free on both Windows and Mac: https://help.it.ox.ac.uk/sophos.
  • Phishing. We are seeing more and more cases of sophisticated phishing attacks (emails pretending to come from someone you trust attempting to get you to enter your username and password into a fake website).  If you have your password stolen in this way then it can result in your SSO account being blocked by the University – which will prevent you accessing your email, WebLearn and many other University services.  Please read the information at https://www.infosec.ox.ac.uk/phishing  and help keep your account protected.
  • Hardware Breakdown. It is useful to be aware of any warranty or insurance you have for your computer just in case something happens to it.
  • Backup. It is vital that you organise some form of backup for your work. There are a number of options such as using a USB drive or external hard-drive, additionally there are many internet-based services such as cloud storage. Your University email account includes access to Microsoft OneDrive for business, further information on accessing this can be found here: https://help.it.ox.ac.uk/onedrive-for-business

Rules and Staying Safe

Rules

While living in the college or using the college’s facilities you must adhere to the college rules and those of the University.

Some rules that often come up in relation to using your College accommodation are:

Guests: You are responsible for your guests and their behaviour, which must not be a nuisance to any other residents or staff.  Guests must be signed in and out at the Porters’ Lodge.

Noise.  You must be aware of the impact of your behaviour on others.  The College accommodates nearly 500 people in close quarters.  Complaints over unreasonable noise disruption will be dealt with by the Dean and their team.

Food.  If stored incorrectly food items can attract bacteria and pests.  No food deliveries will be accepted at the Lodge; food deliveries to the college must be collected directly by you.  Food should be stored in your kitchen not your room and all food must be covered and kept sealed in rigid containers.

Damage.  You will be held responsible for damage to the walls and other surfaces including carpets in your room, e.g. from pictures, blue tack, LED lights, spillages etc.  If we have to redecorate you may be charged for that work.

Your Safety

The College is concerned about your safety and health, and efforts have been put into making your stay in College a safe one. Your safety is also, however, dependent on the exercise of common sense by you and other residents at all times. You also have an obligation to consider others as well as yourself and not to create unnecessary hazards by your actions or your omissions.

If you see anything that could be dangerous, if you have an accident or something happens that fortunately didn’t cause any harm but could have done report it immediately to the Porters’ Lodge or by emailing faults@lmh.ox.ac.uk

The most important things to draw to your attention are:

Fire

The risk of fire is constant and vital in sleeping accommodation.  You must not to anything that could cause a fire and put your life or others’ lives at risk.

We have sensitive and high quality fire detection systems and alarm sounders in all buildings.  If you discover a fire sound the alarm and get out of the building.  If you hear the fire alarm you must evacuate the building immediately to the nearest muster point – make sure you know where they are.

We test the fire alarm around 1pm on Mondays.  You don’t need to evacuate if the alarm only sounds for a short time.

The College carries out many activities such as evacuation drills and emergency lighting tests to maintain a safe environment, however, we also need all members of our community to adhere to the instructions, guidance and rules in place. Key points to consider are:

  • You are responsible for the electrical safety for anything you bring in to College
  • Keep any doors marked as 'fire doors' closed at all times
  • Don’t obstruct corridors and escape routes
  • Don't interfere with fire safety equipment
  • Familiarise yourself with procedures and escape routes as soon as you can - you will find a fire safety notice in each room
  • Be sensible - candles and rice cookers are not permitted in bedrooms for a reason

If you discover a fire, leave the building by the nearest fire escape route - don't wait to collect belongings and don't use the lifts. Break the fire glass to sound the alarm on the way out.  Wait at your designated assembly point until you are informed that it is safe to return to the building.

Fire escape routes

It’s essential and required of us by law to keep corridors clear and safe at all times.  Fire doors that help control smoke in the event of a fire in these corridors must be closed at all times.  Make sure you always know how to evacuate the building you are in.

Smoking, candles and naked flames

Smoking, candles and naked flames are not permitted in any College buildings.

Charging lithium batteries

Lithium batteries pose a particularly severe hazard: a lithium fire is very difficult to control and has an additional toxic fumes hazard. Larger batteries such as those used in E-scooters and electric bikes must always be charged in the designated secure charging shed within LMH grounds.

Electricity

You must make sure all electrical supplies are safe an in good condition before using them, and only connect safe electrical devices that are in good condition to our electrical network.  Report problems to faults@lmh.ox.ac.uk .  We will remove dangerous portable electrical devices if we find them.

There is an electrical substation that provides power to the local neighbourhood on site.  There are up to 11,000V live in the substation.  The building is locked shut and marked – you must never enter.

River

Beware of deep water, mud, water weeds and strong currents when on the banks or boating.  Due to the risk of Weil’s disease and other water borne infections avoid contact with river water wherever possible.  Do not swim in the river.

In protracted cold weather thin ice may cover the river – this will not hold your weight and can be extremely dangerous – avoid at all costs.

Trees

Many of our trees are aged.  During periods of high winds trees may become unstable; large branches and entire trees can fall.  Avoid walking under trees in windy or stormy weather, or when lightning is forecast.

Cooking

Only cook in the kitchens provided and never leave cooking unattended.

Slips Trips and Falls

Slips, trips and falls are the most common type of accident in the UK.  Be aware of your surrounds at all times.  You must not leave items where they will create a tripping hazard for someone else.

Legionella

Legionella is a disease caused by bacteria that can be found in natural water sources. Infection is transmitted by inhalation of bacteria in aerosol form. We carry out regular water tests at our accommodation site in accordance with legislation. Regular access will be required to your accommodation to complete this. We will always give you notice when this is going to happen.  If you have been away from your accommodation, for more than one week run showers and taps for 10 minutes (open the windows first to ventilate the water vapour and face away from taps and showers while doing this).

We have set out in more detail these and other important hazards on the college site and you must familiarise yourself with them and how to avoid them if you want to enjoy the college buildings and grounds.

Emergencies and First Aid

The Lodge is staffed 24 hours a day every day of the week. This should be your first contact in any emergency. If you have called an ambulance – please let the Lodge know immediately so that we can meet it at the gates and escort the first responders to your location. All lodge staff are first aid trained. We also have a small selection of items to deal with minor cuts and bruises.

Making a Complaint

We hope things won’t go wrong but sometimes they do.  You may be able to resolve the problem informally with a member of staff or the relevant head of the department and we’d encourage you to try that route first https://www.lmh.ox.ac.uk/current-students/key-contacts.  If not the college has a complaints procedure which you can use.

If you’d like register what you consider to be unacceptable delivery of services linked to your accommodation you can do that formally through a form detailed on your accommodation agreement.

Community Living

We try to keep rules about personal behaviour within College to a minimum, but we do have a few in place to reduce noise and disturbance, maintain safety and security and provide for emergencies. You can find a full copy of the College Regulations on the LMH website https://www.lmh.ox.ac.uk/about-lmh/further-information/college-documents

The University's regulations and agreements also apply to students when in College.

Security

Help us by:

  • Ensuring doors are locked when rooms are not in use, and not keeping doors or windows artificially open - don't leave your bedroom unlocked, even for short periods
  • Reporting lost keys and fobs to the Lodge immediately
  • Not transferring keys or fobs
  • Alerting the Porters' Lodge to any suspicious people or activities

If you are living in College you are permitted to have occasional non-paying overnight guests but you must sign them in at the Lodge, meet them at the Lodge on arrival and escort them out when they leave.
